The company

The customer is a Dubai-based marine-engineering and ship-management services provider. Its engineers attend vessels in port and at anchorage — inspecting, repairing, and certifying marine equipment — then bill global shipping lines for the work performed. A single job can touch half a dozen documents: a quotation, a field service report, a proforma invoice, a final invoice in the client's currency, and a statement of account at month-end. Behind the scenes, the firm also issues HR paperwork for its engineers and crew and manages its own supplier purchasing.

The challenge

Before ZapsDocs, every one of those documents lived in a Word template or a spreadsheet:

  • Manual, inconsistent documents. Quotations and invoices were rebuilt by hand each time. Formatting drifted, the letterhead was pasted in differently by different people, and a single job's paperwork rarely matched end to end.
  • Error-prone, multi-currency billing. The firm books in AED but invoices international clients in USD and EUR. Manual exchange-rate math and tax calculations produced totals that didn't reconcile — and disputes with clients.
  • Field reports trapped on paper. Engineers complete work at the quayside, often with no connectivity. Service details were written up later from memory or scraps of paper, delaying the invoice that depends on them.
  • Customer POs re-keyed by hand. Shipping lines send purchase orders as PDFs and scans. Staff retyped line items, quantities, and prices — slow, and a frequent source of mistakes.
  • No reliable numbering or audit trail. With several people creating documents, numbers collided, sequences had gaps, and there was no clean record of who approved what.

The solution

The firm moved its entire document operation onto ZapsDocs, a productized document-automation platform. Instead of a blank template, the firm started day one with pre-built document types, roles, and approval workflows it simply configured to its own letterhead, bank accounts, and tax rules.

One platform, 17 document types. Across four families:

Quotation-to-invoice pipeline. An approved quotation converts to a proforma and then a final invoice in one click, carrying line items and totals forward with full traceability — the ~30-minute manual build dropped to roughly three minutes.

Offline field service reports. A dedicated offline application lets engineers capture service reports at the vessel with no connectivity, storing them locally and syncing bidirectionally with the server once they're back online. The report that justifies the invoice is now created where and when the work happens.

AI-powered PO extraction. Customer purchase orders arrive as PDFs or images and are read automatically — items, quantities, prices, and dates extracted in seconds by the ZapsDocs Platform, with no manual typing.

Multi-currency, correct by construction. Invoices are issued in USD or EUR with automatic exchange-rate application against the AED base, the right bank account attached per currency, and tax and totals computed automatically — so the numbers reconcile every time.

Branded PDFs, sequential numbers, approvals. Every document renders to a professional, letterheaded PDF with automatic, gap-free numbering (e.g. INV/26/06/001) and a draft-to-approved workflow with email notifications and a complete audit trail.

The results

Bar chart, minutes per task: quotation to invoice went from about 30 minutes to about 3; customer PO data entry went from about 15 minutes to a few seconds.
